Booking & lead times

When and how to book your event

How far in advance should I book? +
For weddings and larger events we recommend booking at least 4–6 weeks in advance to guarantee your date. Grazing carts and boards need a minimum of 2 weeks. Funeral catering can be arranged with 48 hours' notice where availability allows. The busier we get into wedding season (May–September), the further ahead you should book.
How do I book? +
Send us an enquiry via our Get a Quote form, email [email protected], or call 07359 470069. We'll come back to you with a personalised quote within 24 hours.
Can I make changes to my order after I've booked? +
Yes, but with notice. Final numbers, menu choices and dietary requirements need to be confirmed at least 48 hours before your event. Small changes after that point may not be possible depending on what's been prepped.
What's your cancellation policy? +
Cancellations made more than 7 days before your event are refunded in full minus the £50 deposit. Cancellations within 7 days are charged 50% of the agreed quote. Cancellations within 48 hours are charged the full balance, as ingredients will already be ordered.

What we offer and how it works

What kind of events do you cater for? +
All sorts — weddings, milestone birthdays, hen weekends, baby showers, christenings, corporate lunches, office breakfasts, kids parties, funeral receptions, and family fundays. If you have a gathering, we can build a menu for it.
Can I customise my menu? +
Absolutely. While we have set platters and packages, we also offer bespoke menus. Tell us what you have in mind — favourite flavours, theme of the event, dietary needs — and we'll put together a quote.
Do you offer staffed service? +
Yes. The Graze Cart hire always includes a dedicated staff member. For other services like buffets and afternoon teas, staffed service is available as an add-on (1 server per 30 guests, priced on request).
Can I add personalised touches? +
Yes. We can match wedding or birthday colour schemes, add fresh flowers and greenery, and create personalised stickers for cups and packaging. These add-ons are priced on a case-by-case basis and discussed at booking.

Dietary requirements

Allergies, dietary needs and preferences

Do you cater for dietary requirements? +
Yes. We offer vegan, vegetarian, gluten-free, dairy-free and halal alternatives. Please let us know any allergies or requirements when you enquire so we can build them into your menu safely.
Are your meats halal? +
Many of our pakora, pasta and chicken items are made with halal-sourced meat (marked with H on our buffet menu). For a fully halal event, let us know at booking and we'll confirm what's available.
How do you handle severe allergies? +
For severe allergies (nuts, gluten, dairy etc.), please inform us at booking and again 48 hours before your event. While we take every care, our kitchen handles all major allergens — we'll be honest with you about whether we can guarantee no cross-contamination for your specific needs.
Can you do fully vegan or vegetarian events? +
Yes. We have a dedicated 10-person Vegetarian Buffet Package, and we can build fully vegan menus to scale. Charcuterie boards can be made entirely plant-based using artisan vegan cheeses and meat alternatives.

Our signature charcuterie cart hire

What's included in the £450 cart price? +
The £450 price covers 50 guests and includes: delivery to your venue, full setup and styling of the cart, a dedicated staff member during your event, cups/boards/boats, and a beautifully curated selection of meats, cheeses, fruits, crackers and breads.
What if I have more than 50 guests? +
Additional guests are £7.50 per person beyond the first 50. So 75 guests would be £450 + (25 × £7.50) = £637.50.
How long does the cart stay at my event? +
Standard setup time is around 60–90 minutes, and the cart is typically available for around 2–3 hours of service depending on your event. Extended hire times can be arranged at booking.
Can the cart match my colour scheme? +
Yes — we can style the cart with fresh flowers, greenery and decorative touches to match your wedding or birthday theme. These are available as add-ons at extra cost. Send us your colour palette or mood board when you enquire.

Buffet catering

Platters, hot trays, and complete packages

What's the minimum buffet order? +
Most individual platters serve 10–24 people. Our smallest complete buffet package serves 10 people for £73.50. There's no firm minimum order value — just get in touch with what you need.
Can I mix and match items rather than take a package? +
Yes. You can order individual platters from the full buffet menu in any combination you like. Packages are designed for convenience, but bespoke orders are always welcome.
How should I preheat the heat-and-eat trays? +
Heat-and-eat trays come with clear instructions on the packaging — usually a preheated oven at 180°C for 20–25 minutes depending on the item. We'll talk you through it when we deliver, and the instructions are included in your order.
Are the buffet packages suitable for self-service? +
Yes, all our buffet packages are designed for self-service. We deliver everything beautifully presented and ready to put out. If you'd prefer a staffed buffet, that's available as an add-on.

Funeral catering

Reception catering for difficult days

How quickly can you cater a funeral reception? +
We can usually accommodate funeral receptions with 48 hours' notice where availability allows. For weekend services, the earlier you can let us know, the better.
What if final guest numbers change at short notice? +
We understand funerals are unpredictable. We allow numbers to be adjusted up to 48 hours before the service. Small additions on the day are usually possible — just call us and we'll do what we can.
Do you offer staffed funeral service? +
Funeral receptions are usually presented as self-service, which lets guests help themselves at their own pace. Staffed service is available for larger receptions (1 server per 30 guests, priced on request).
Can the funeral menu be customised? +
Yes. You can choose four sandwich fillings from our list, and our add-ons let you tailor the menu (extra fruit platters, dietary trays, upgraded bread, hot drinks station). For full bespoke menus, just let us know what's needed.
Do you work with funeral directors and venues? +
Yes, we have ongoing relationships with venues and funeral directors across the West of Scotland. If you're working with a specific venue, let us know — chances are we've catered there before.

Payment & deposits

How payment works from booking to balance

How does payment work? +
A £50 deposit secures your date when you book. The balance is due 48 hours before your event, along with final guest numbers and dietary confirmations.
What payment methods do you accept? +
We accept bank transfer for both deposit and balance. Bank details are sent to you with your booking confirmation.
Is the deposit refundable? +
The £50 deposit is non-refundable, but it's deducted from your final balance. If you cancel within our cancellation policy, you only lose the deposit. After 7 days before your event, additional charges apply (see Booking section).
Are your prices inclusive of VAT? +
Yes, all prices listed on our website are inclusive of VAT. No surprises on your final invoice.

Delivery & areas

Where we deliver and what it costs

What areas do you cover? +
We're based in Kilmacolm and regularly cater across Renfrewshire, Ayrshire, Inverclyde, Glasgow and the wider West of Scotland — Bridge of Weir, Paisley, Houston, Lochwinnoch, Greenock, Largs, Troon, Ayr and beyond.
Is there a delivery charge? +
Delivery within our standard service area is typically £10. Venues further afield are quoted on a case-by-case basis. We'll always confirm any delivery charge when we send your quote.
Do you set up and clear up? +
For the Graze Cart hire, yes — delivery, setup, a dedicated staff member during your event, and clear-up are all included. For board and platter deliveries, we drop off ready-to-serve. Clear-up isn't included on platter-only orders unless requested.
What time will you arrive? +
For most events we arrive 60–90 minutes before service starts to set up. For the Graze Cart we may arrive up to 2 hours early to style and prep properly. Exact times are confirmed in your booking confirmation.

What are your opening hours? +
Monday to Saturday: 8am – 3pm
Sunday: 9am – 3pm

Bank holidays may vary — we always post any changes on our Facebook and Instagram pages.
What do you serve at the coffee shop? +
Freshly brewed coffee, breakfast platters, sandwiches and wraps, scones, traybakes, and the full Equis Ice Cream range — including raspberry ripple, biscoff, choc chip mint, double cream vanilla, double chocolate orange and strawberry ripple.
Do you do takeaway? +
Yes — most items can be taken away. Pop in or call ahead on 07359 470069 to order ahead.
Can I order a catering platter for collection? +
Yes. Charcuterie boards and buffet platters can be collected from the shop with 48 hours' notice. Request a quote or call us to arrange.
